Read in order once, or jump to the section that matters. ## 01 · Start here {#start} *Ten minutes, and the books are keeping themselves.* Funance is one file. It runs in your browser, on your machine; nothing installs and nothing phones home. A term key decides which rooms are open. Here is the whole first sitting. 1. Open your download hub (https://funance.tech/?view=download) and press Get the app. Unzip. Open FUNANCE-E1.html in Chrome, Safari, Firefox or Edge. Bookmark it — this file is now your books. 2. Tap PASTE A KEY at the top, paste the key from your hub (it is also in your order email), press OPEN. The bar shows your term counting down. No key yet? The floor — Dashboard, Ledger, Drop, Reports, Settings — is open anyway. 3. Go to Settings and add your first entity: a name, a type (LLC, S-corp, nonprofit, department, program, grant, project, classroom, trust, personal), a state, and the blended tax rate your CPA gives you — or 0 if this set of books owes no tax. 4. Go to Drop. Download last month from your bank (QFX, OFX, QBO or CSV) and drop the file in. Every line is staged; route the first few by hand — Funance remembers each merchant from then on. 5. Open Dashboard. Total cash, burn, runway, the next set-aside. That is the first sitting done. Everything below is the same app, room by room. Read it now or come back when a room matters. ## 02 · Keys and terms {#keys} *A term is a window, not a subscription.* A key is a block of text that starts {"format":"LTK-1". It is signed once by the studio and checked on your machine; nothing phones home. Each key carries the seat, the date it was issued and the date it ends. It counts from issue whether you open the app or not, and a new key replaces the one you hold — so take the next term when the last is about to end, not before. When a term ends, the seven term rooms lock on the second — Invoices & Bills, Portfolio, Scenarios, Tax, the Monthly Pack, the Desk, Connections. The floor stays open with everything you entered. Nothing is deleted; nothing renews on its own; there is nothing to cancel. Paste a new key and the rooms open again around the same books. If your computer’s clock is set backwards, or a key claims to be issued in the future, the app closes to the floor rather than open on a lie. Set the clock right and it opens again. ## 03 · Entities {#entities} *Every set of books you keep, on one screen.* An entity is any set of books: a company, a side business, a nonprofit, a department, a program, a grant, a project, a classroom, a trust, a household. Add as many as you keep in Settings — there is no per-entity fee on any tier. Each carries its own blended tax rate; leave it at 0 where no tax is owed and the tax instruments stay quiet for it. Money moved between your own entities is a transfer — a loan, a distribution or a contribution — and is kept out of profit and loss, so nothing is counted twice and no business looks richer than it is. Reports has a schedule of transfers and loans for exactly this. ## 04 · Drop {#drop} *Anything money-shaped goes here.* Bank downloads. QFX (Quicken), OFX (Money), QBO and CSV. The first three carry the bank’s own transaction ids, so re-importing a month never duplicates a line; a CSV has none, so check the Review bin if you re-import an overlapping period. These parse on your machine with no AI and no internet. Typed lines. Type what happened. It lands as a line. Shopify payouts. Finances → Payouts → Export. Funance recognises the format and splits each row into the sale and the processing fee; refunds post negative. Receipt photos, phone screenshots, statement PDFs. These are read by your own Claude, on your Anthropic key, which lives in the Connections room — a term room. The read comes back staged with a confidence; you review before anything is written. Every line is tagged source → entity → category → tax treatment. Anything under 80% confidence waits in the Review bin, which the Dashboard flags, until you look at it. Route a merchant by hand once and Funance remembers it: the next line from that merchant routes itself, locally, with no API call. ## 05 · Ledger and Reports {#ledger} *The numbers every way an accountant reads them.* Ledger. Every line, dated, tagged, editable in place. Filter to one entity, the review bin or transfers; type a line straight in; export the filtered set as CSV. Reports. Profit and loss, the monthly spread, balances and due-to/due-from, general ledger detail, transfers and loans, owner draws and distributions, vendor spend — for any period, for one entity or all. Export CSV or print. Dashboard. Total cash, portfolio value, net worth, monthly burn over the trailing ninety days, runway in months on operating cash, the next set-aside with its date; a cash bar by entity; each entity’s own card. Portfolio value feeds net worth and never runway. ## 06 · The seven rooms {#rooms} *What a term opens.* Invoices & Bills. Create an invoice; mark it paid and the revenue posts itself. Track a bill; mark it paid and the expense posts itself. Recurring charges post every month. Payroll is recorded from your provider — gross wages and employer taxes to Payroll, the provider fee to Fees — never run here. Portfolio. Investment accounts, balance-tracked rather than tick-tracked, per entity. Deposits and withdrawals are transfers; dividends and interest are other income. Scenarios. Move the revenue and expense levers, add hires at a cost, pick the entities, and read cash, burn, runway and set-aside side by side — actual against scenario. Tax. The quarterly set-aside combined across every entity at the rates you set, the mileage log (enter the current IRS standard mileage rate yourself; your CPA takes it from there), the estimated-payments log. Worksheets, never filed forms, never advice. Monthly Pack. Pick the period, the entities and the documents; build one PDF with the CSVs beside it; draft the email to your accountant; save the selection so next month is one tap. The Desk. Ask for the words — a letter to a client, a board, a grant officer — written on your own Anthropic key from only the totals and lines you tick, plain, warm, formal or firm. Copy, open in email, or print to PDF. Connections. Bring your own everything: the guide to every bank’s download, Shopify payouts, the screenshot path, and your Anthropic key — stored only in this browser, sent only to Anthropic. An optional third-party bridge can refresh balances for a fee of theirs; your credentials go to them, never to Funance. ## 07 · Your Claude {#claude} *Your key, your account, your machine.* Get an API key at console.anthropic.com (pay-as-you-go, your own account). Paste it in Connections → Engine. From then on receipt photos, screenshots and statement PDFs are read by your Claude, the Desk writes on it, and “Route with Claude” classifies a whole batch in one pass. What is sent: the image or the lines, and the entity and category names your ledger uses — to Anthropic, under your agreement with them. Nothing to Funance. Skip the key and every other room still works; you route by hand and by memory. The Year ships the Funance Skill Card — a file you save into Claude, ChatGPT or Lundr once, after which your AI keeps books the way the card says: read what it is given, name the entity, route the line, never invent an amount, refuse tax advice and bank credentials. ## 08 · Month end, in one sitting {#monthend} *The order that works.* 1. Drop the month’s bank file for each entity. Route what the Review bin holds. 2. Open Invoices & Bills; mark what was paid. 3. Read the Dashboard once — cash, burn, runway, set-aside. 4. Build the Monthly Pack for your accountant; draft the email; save the set. 5. Export the vault from Settings — one JSON — and keep a copy somewhere that is not this computer. ## 09 · Backup, moving, handoff {#backup} *Your books are a file. Treat them like one.* Your ledger lives in your browser’s storage for this file, on this machine. Export the vault from Settings whenever you have done real work — it is one JSON file and it is your backup, your moving truck and your audit copy. Import it into the app on another machine and you are exactly where you were. Handoff. Hand a bookkeeper a copy from Settings; they work in it; you merge their file back and see every change before you accept it. There are no accounts, seats or roles — that is what keeps your books off anyone’s server. Need a professional who knows Funance? Export first. ## 10 · When something is wrong {#trouble} *The short list.* The key won’t open the rooms. Paste the whole block, from the first { to the last }. Check the date — a key that has ended says so. Check the computer’s clock. Then write to us with your order number. A photo won’t read. The Claude rooms need your Anthropic key in Connections, and a connection at that moment. Bank files and typed lines never need either. A month imported twice. QFX/OFX/QBO never duplicate; a CSV can. Delete the duplicates in the Ledger, and next time prefer the Quicken or Money download. The download didn’t start. Your download hub has a plain link to the same package.
